If you take card payments you are handling data that carries rules and consequences, whether or not anyone has raised PCI DSS with you. Most of the practical work is unglamorous: keeping the payment side properly separated from everything else, patching the machines that touch it, and making sure the store WiFi customers use isn't the same network as the till.

What happens when a till goes down mid-trade?

You get a person, fast. Support is remote first and a store that can't sell is treated as critical, so it's inside the hour rather than in the queue. Most till and terminal faults are fixed remotely. When it needs hands on it, Auckland metro is within four hours. The bigger win is the boring one though: monitoring that spots the machine failing before Saturday, so the call doesn't have to happen at all.

Can you make our POS, online store and accounting actually talk to each other?

Usually, yes, and it's the single change most retailers feel fastest. Vend, Lightspeed, Shopify, WooCommerce, Xero and the big ERP platforms all have ways in. Where a proper integration exists we use it. Where it doesn't we build the bridge. What we'll tell you honestly is when a system is too closed to connect well, because the answer then is either living with the gap or changing the system, and that's your call not ours.

Is the store WiFi our customers use a problem?

It is if it's the same network as your tills, and more often than we'd like, it is. Guest WiFi should be completely separated from the payment side, so someone in the car park can't reach anything that matters. It's a straightforward fix, usually a configuration change rather than new hardware, and it's one of the first things we look at.

Staff come and go constantly. How do we keep on top of accounts?

By making it automatic instead of remembered. A new starter gets exactly the access their role needs on day one, and when they're marked as leaving, that access goes the same day. No shared logins on the till, so you can tell who did what. It sounds like admin housekeeping, but old accounts left open are one of the most common ways retailers actually get breached.

We're a single store. Does any of this apply?

The security side does, because attackers scan for weaknesses rather than picking targets by size, and card data is card data. The automation side depends on your volume; if two systems and a spreadsheet are genuinely keeping up, we'll say so rather than sell you a build. The review is the point, you get a straight read on which parts are worth doing now and which can wait.

What does this cost?

Managed IT is a fixed monthly fee per person covering helpdesk, monitoring, maintenance, backups and the security baseline. Automation is quoted per build against a fixed scope. What it comes to depends on stores, tills, headcount and how many systems need connecting, so any number on a website would be made up. The review costs nothing and you'll have real pricing before you decide anything.
