Frequently asked questions
How do we stop a settlement payment being redirected?
With layers, because no single control catches it. Someone gets into an email account, reads the conversation until they find a settlement, then sends new bank details at exactly the right moment. Nothing looks wrong, so nobody checks. What works: MFA on every account without exception, monitoring that flags a login from somewhere it shouldn't be, warning banners on external email, and a hard firm rule that account details are confirmed by voice on a number you already held. The rule is the one that saves you, the technology just buys you the chance to use it.
Does using AI put privilege at risk?
It can, which is why the default matters. Automations we build run inside your own Microsoft 365 tenancy on your own documents, and don't train anyone else's model. Client material doesn't go to a public tool unless the firm specifically decides it should, and that decision gets made deliberately rather than by a fee earner pasting something into a chatbot at 9pm. A lawyer reads and signs anything that leaves the firm. AI drafts, people advise.
Do we have to change practice management systems?
No. Actionstep, LEAP, Infinitylaw, Xero and the usual mix are all systems we support and connect rather than replace. Changing a practice management system mid-flight is disruptive and expensive, and it isn't your IT provider's decision. The exception is anything that can't be secured or that the vendor has stopped supporting, where we'll show you the risk and price the options before anything moves.
What does the AML side look like day to day?
It means the evidence exists without anyone building it. ID, address and source-of-funds documents come in through one channel, get checked, and sit against the matter with a timestamp and a name on them. Access is limited to the people on the file. When you're audited you produce a trail. We don't advise on your AML programme, that's your compliance adviser, but we make sure the systems match what your programme says you do.
Can partners work securely from home and while travelling?
Yes, and it's normal now rather than an exception. Encrypted laptops, MFA, and access to matters through a controlled path rather than files copied onto a device. If a laptop goes missing in an airport, the data on it is unreadable and access can be cut remotely. The point is that working from anywhere shouldn't mean the firm's obligations stop at the office door.
What does this cost?
Managed IT is a fixed monthly fee per person covering helpdesk, monitoring, maintenance, backups and the security baseline. Automation is quoted per build against a fixed scope. What it comes to depends on fee earners and support staff, devices, whether there's a server, and how much of your stack needs connecting, so any number on a website would be made up. The review costs nothing and you'll have real pricing before you decide anything.
