Frequently asked questions
Can you support us in a way that stands up to an FMA look?
The honest framing is that we handle the technology side of your obligations, not the obligations themselves. What we can do is make sure client records are held securely, that access is limited and logged, that the audit trail exists without anyone maintaining it, and that you can produce evidence rather than reconstruct it. Your compliance adviser owns what your programme says. We make sure the systems match it.
Are we allowed to put client financial data through AI tools?
By default we build so you don't have to decide that under pressure. Automations run inside your own Microsoft 365 tenancy on your own files, and don't train anyone else's model. Anything that would send client data to an external service gets flagged, explained and agreed before it's built. And an adviser reads and signs anything that becomes advice. AI drafts, licensed people advise.
Do we have to change our CRM or advice software?
No. Adviser platforms, CRMs, Xero and the research tools are all things we support and connect rather than replace. Swapping a core system is a business decision with client and licensing consequences, and it isn't your IT provider's call. The exception is anything that can't be secured or that the vendor has stopped supporting, where we'll show you the risk and price the options before anything moves.
What does AML onboarding look like once it's automated?
It means the evidence exists without anyone assembling it. Documents come in through one channel rather than four inboxes, get checked, and sit against the client record with a timestamp and a name attached. Access is limited to the people who need it. The client experience improves as a side effect, because chasing the same document three times is the part they remember.
Most of our risk is email. What actually reduces it?
Four things, in order of how much they matter. MFA on every account without exception, because a password alone stops nothing. Monitoring that flags a login from an unusual place and can cut the session. Warnings on external email so a lookalike domain is visible. And a rule that bank details are confirmed by voice on a number you already had, especially when the message says it's urgent, because urgency is the part they manufacture.
What does this cost?
Managed IT is a fixed monthly fee per person covering helpdesk, monitoring, maintenance, backups and the security baseline. Automation is quoted per build against a fixed scope. What it comes to depends on headcount, devices, whether there's a server and how much of your stack needs connecting, so any number on a website would be made up. The review costs nothing and you'll have real pricing before you decide anything.
